How to read a car repair invoice: what it should show

Good to know

A proper invoice, not just an estimate, should show itemized parts with part numbers or descriptions, itemized labor with hours and rate, any diagnostic or shop fees clearly labeled, whether the parts are OEM, aftermarket or used, and the warranty terms for both parts and labor.

Why the breakdown matters

A repair bill is usually made of four kinds of line: parts, labor, diagnosis and shop supplies. The proportions vary by job and region, so it is the breakdown, not the split, that tells you something. A single figure hides which line is doing the work.

What a proper invoice shows

  • Itemized parts, with part numbers or descriptions
  • Itemized labor, with the hours and the rate
  • Any diagnostic or shop fees, clearly labeled
  • Whether the parts are OEM, aftermarket or used
  • Warranty terms for both parts and labor

What to check

  1. Check that parts and labor are on separate lines, not folded into one number.
  2. Check that labor shows the hours, not just a flat figure, so you can see the math behind it.
  3. Check that the part type, OEM, aftermarket or used, is named rather than implied.
  4. Look for any diagnostic or shop fee, and check it was disclosed before you approved the work.
  5. Check the warranty terms for both parts and labor.
  6. Keep the invoice, even for a small job.

What each line should show

  • Parts: part numbers or descriptions, and whether they are OEM, aftermarket or used.
  • Labor: the hours and the rate, not just a flat figure.
  • Diagnostic or shop fees: clearly labeled, and disclosed before you approved anything.
  • Warranty: the terms for both the parts and the labor.

What people often get wrong

Not keeping repair invoices. You lose useful history for warranty claims and resale value.

When to ask the shop

A good shop won't mind questions about any line, and hesitation to answer them plainly is itself useful information. Ask whether the parts are OEM or aftermarket and what the warranty is either way, and whether the warranty covers the labor as well as the parts.
